How to Plan an Airport Pickup So the Car Is Never Late

Vighnaharta CarzCorporate travel notesUpdated

Most airport trips go wrong for a simple reason: the pickup time was fixed once and then used again and again. After a few weeks it no longer matches the flights. The car is waiting for a guest who landed earlier or later, and the guest is standing outside with a bag.

The fix is not a bigger buffer. Plan the trip around the flight, and tell us enough for the car to be at the right place at the right time.

Send the flight number, not just a time

If you give us the flight number and date, we plan around the real flight time, including any delay shown by the airline. If you only say "pickup at 10 am" and the flight lands at 9:40, the chauffeur may wait for an hour — or leave before your guest has come out after immigration and baggage.

This matters most early in the morning and late at night, when many flights land within a few minutes of each other.

The details we need

  • Flight number and date. The arrival time changes most often, so the flight number is more useful.
  • Pickup place. The terminal and, if needed, the exact gate. Big airports have more than one place where a chauffeur can wait.
  • Number of people and bags. This decides the car. A sedan and an SUV carry the same people very differently once there are big suitcases.
  • A phone number of the traveller. Not always the person who is booking. When the traveller is a guest, this is what makes the pickup smooth.

For a drop, count backwards from the flight

The flight departure time is fixed. Your guest needs time for security and the gate, so the car must leave the office earlier than it feels necessary — and the chauffeur must be there before that time, not at that time.

For very early flights, it is often safer for the guest to be picked up the evening before and stay close to the airport, instead of booking a 4 am car and hoping the roads are clear. It costs much less than a missed flight.

Book the return trip together with the first trip

Return trips are often booked the evening before, when cars are hard to get. If your guest lands and then has to wait for a car, the cost is paid in their time.

Send both trips together when you can. If the return time may change, tell us the expected time and we will keep a car ready. You can update us later.

When the same trip repeats every week

If the same route runs every week with the same traveller, it is no longer a one-time booking. It is worth talking about a long-term plan, where the cars, the billing and one contact person are fixed in advance instead of being arranged on every trip.
